Details:  Permanent, Full-time (four day work week, Monday to Thursday, 28 hours/week)

Reports to: Executive Director 

Location: Toronto or Montreal preferred, but other locations will be considered. Most Greenpeace Canada staff work from home, as well as from offices located in Toronto, Montréal and Vancouver.

Salary:  $60,529 CAD (prorated for partial years of service)

About the role: 

Are you ready to provide dynamic support to Greenpeace Canada’s senior leadership team & Board of Directors? Are you great at organizing ideas, information, and tasks and communicating in a compelling way? Are you passionate about making positive change? Greenpeace Canada (GPCA) is seeking an Executive Assistant & Governance Coordinator to provide strategic support to the Executive Director and senior management team, to support the Board of Directors, and to coordinate the organization’s governance processes and activities. The person in this role will sit with the senior management team and be at the heart of Greenpeace Canada’s leadership structure.

The ideal candidate will be interested in organizational dynamics and keen to play a role in Greenpeace Canada’s management and governance. They will be a great writer with high level administrative and organizational skills. They will be able to anticipate challenges and opportunities and be proactive in acting on them. A strong communicator with emotional intelligence, they will be an effective conduit for the flow of information between senior management, the Board, and Greenpeace Canada staff, in all directions. 

Major Responsibilities:

1.   Provide strategic executive support to the Executive Director and assist with the overall coordination and administration of the Executive Director’s office (EDO). Sit with and coordinate the work of the senior management team.

2.   Coordinate Greenpeace Canada’s governance activities. Work closely with the Executive Director and Board Chair, and act as the key link between Greenpeace Canada’s senior management team, Board of Directors, and Voting Members. Prepare Board reports and manage Board processes. 

3.   Prepare, manage, track, and report on the EDO and governance budgets, and manage the expenses of the Executive Director and members of the Board.

4.   Structure and manage document flow for the Executive Director’s Office, the senior management team, and the Board of Directors.

5.   Ensure adherence to legal requirements for non-profit organizations (minutes, corporate filings, etc).

6.  Arrange and coordinate meetings and events, including Board meetings. 

7.  Manage internal projects and provide support to key GPC initiatives as assigned by the Executive Director.

Skills & Experience: 

The ideal candidate will have the following: 

5-7 years experience in related positions 

High level administrative, organizational and task management skills

Strong written and verbal communication skills

Strategic thinking 

Meticulous with details

Ability to meet deadlines and pursue multiple projects simultaneously

Ability to plan and implement projects with a high level of independence

Ability to handle highly sensitive information in a confidential manner

Strong emotional intelligence & interpersonal skills; a great team player that contributes to a positive work environment

Comfort working with diverse staff and teams across distance and borders, often remotely

Bilingualism (English and French, and other languages) is highly desirable

Knowledge of First Nations, Inuit, and Métis languages are highly desirable 

Knowledge of other languages that reflect the diversity of Canada’s many communities are also highly desirable

You will work with colleagues across Canada and collaborate with other Greenpeace offices around the world.
